How we partner

What the first 90 days actually look like.

No long procurement cycle and no platform migration. Most engagements start with one study, prove the handoff, then widen.

1 Week 1

Protocol intake and feasibility

We take your protocol (a registry link, the PDF, or pasted text) and work through inclusion/exclusion criteria, site catchment areas, and where the enrollment pressure actually sits. You get a written view of which criteria will constrain recruitment before anything is built.

You provideProtocol, target sites, current enrollment position
You receiveFeasibility read and criteria map
2 Weeks 1 to 2

Recruitment package and IRB submission

Horizon generates the package in about an hour: participant-facing assets, marketing strategy, and the Bridge outreach strategy where community reach applies, all against sponsor playbooks and the relevant IRB ruleset, with every compliance flag cited to its source. The remaining time in this window is your review and the submission itself, not our production.

You provideReview and sign-off; IRB submission through your usual route
You receiveRecruitment package, marketing and outreach strategy, compliance citations
3 On IRB approval

Screener build and system handoff

Your I/E criteria become branching screener logic with SMS one-time-passcode verification. In parallel we build the referral handoff into whatever your team already works in (REDCap, Qualtrics, CRIO, or Vision) and scope that with your data team so referrals arrive where coordinators already are.

You provideA data contact for the handoff, and screening-log requirements
You receiveBuilt screener, tested handoff, agreed referral format
4 Ongoing

Outreach, prescreening and real-time optimization

Recruitment runs across paid channels and, where representation targets apply, Bridge partner networks. Every referral is prescreened, and those eligibility outcomes feed back into the targeting, so the Smart Screener teaches the campaigns to optimize for qualified referrals, not just lead volume. We watch it in real time, and you see the same numbers we do.

You provideSite feedback on referral quality
You receivePrescreened referrals, real-time optimization toward qualified

How we work

A practical approach, built around your study.

Straightforward terms, flexible options, and a recruitment partner that works the way you do.

Four things you can count on

We work with your budget and tell you the truth

We build a plan around the budget you have and give you an honest view of what it can realistically achieve, before you spend it, not after.

  • No percentage of ad spend
  • Transparent forecasting
  • Channel performance reporting

Work in Vision, keep your system, or both

Use Vision to manage the full recruitment journey, or keep your existing systems. Committed to REDCap, Qualtrics or your CTMS? We push the data straight there, with no migration and nothing re-keyed.

  • Works with Vision or your existing system
  • Direct integration with REDCap, Qualtrics and CTMS
  • No migration or duplicate data entry

Start with one study

Most engagements begin with a single study at a single site. If the handoff does not work for your coordinators, the exit cost is one study, not a portfolio commitment.

  • Single-study start
  • No long-term lock-in
  • Scale once the handoff is proven

The screening log is yours

Every exclusion carries its reason, retained in a format your monitors and auditors can work from. Prescreening should reduce site burden without creating a documentation gap.

  • Exclusion reasons for every non-eligible response
  • Audit-ready screening log
  • Less site burden, more clarity

Tell us about your study and we will recommend the best way to work together.
